• Lead and execute end-to-end congress, webinar, advisory board, and medical education event projects onsite and remotely • Independently build, configure, and launch live engagement apps using SpotMe Backstage Content Management System • Professionally manage customers and senior stakeholders through clear, timely communications across the project lifecycle • Coordinate stakeholders for seamless event-day execution • Train faculty, field sales teams, booth staff, and agencies • Review event apps and configure and test onsite technology, including interaction-tracking apps, microapps, iPads, and badge printers • Brief and prepare speakers for webinars, virtual sessions, medical standalone events, and symposia • Ensure virtual and face-to-face event operations run smoothly • Handle post-event communications • Analyze event data and deliver reports, dashboards, and recommendations • Influence faculty members to adopt medical education tactics • Complete international onsite projects with Europe/APAC teams or customers • Lead projects across webinar, congress, medical education, and advisory board use cases • Supervise projects alongside junior or associate team members • Step up to Program Lead on brand engagement programs • Support new business through upsell referrals and business development activities
• 2+ years of prior experience in congress engagement, KOL and pharma stakeholder management, congress and medical education event project planning and execution • Approximately 2–4 years of experience in event or meeting management or a closely related function • Deep expertise in pharma meeting and congress planning and execution from agency or corporate backgrounds • Strong industry expertise in congress, meetings and event project management and process workflows • Understanding of pharma priorities before, during, and after events • Ability to translate complex workflows into clear, effective standard operating procedures • Ability to engage US and EU customers, KOLs, and medical societies • Strong stakeholder relationship management and service-driven mindset • Ability to influence and escalate to leadership when necessary • Technical dexterity and ability to effectively and confidently deliver practical solutions • Ability to balance pharma regulatory compliance and legal review processes with business objectives • Ability to generalize customer needs and prioritize valuable solutions • Frequent travel, out-of-hours availability, and weekend work required • Ability to manage onsite and remote projects
