📋 Description

• Assist the owner of a growing general contracting firm with administrative operations, scheduling, data input, and communication follow-ups. • Manage calendars, enter project data into JobTread, track invoices, maintain email organization, and conduct product or vendor research. • Manage and organize multiple Outlook inboxes for the client and partners. • Prioritize, flag, and respond to emails as directed or trained. • Maintain an organized system for follow-ups and time-sensitive messages. • Schedule, reschedule, and confirm meetings, calls, and appointments. • Handle day-to-day administrative tasks including document tracking, meeting reminders, and file organization. • Communicate clearly and professionally in both English and Spanish via email, chat, or phone. • Track priorities and provide daily updates or summaries of pending actions.

🎯 Requirements

• 2+ years of experience as an Executive Assistant, Administrative Assistant, or Business Support VA. • Bilingual in English and Spanish (spoken and written). • Excellent communication, organization, and time management skills. • Proficient in Microsoft Outlook (email and calendar management required). • Comfortable making occasional phone calls and communicating with clients or partners. • Highly coachable and adaptable to new processes and systems. • Professional, trustworthy, and capable of maintaining confidentiality. • Tech-savvy and comfortable working in a virtual business environment. • Experience with JobTread or similar CRM/project management platforms. • Skilled in Microsoft Office and Google Workspace applications. • Familiar with OneDrive, Google Drive, or equivalent cloud-based file management systems.

🏖️ Benefits

• Contractors will operate under a Master Services Agreement and a Statement of Work.
