• Assist with preparing and maintaining contract documentation, reports, and trackers • Support monthly commercial reports, including cost/value reconciliations, forecasts, and KPIs • Maintain records of contract variations, change controls, and commercial correspondence • Manage applications for payment and support Commercial Managers with processing • Raise and manage purchase orders according to procurement policies • Liaise with suppliers and subcontractors to obtain quotations and ensure timely delivery • Support tendering activities, including document preparation, bid evaluation coordination, and supplier onboarding • Maintain procurement logs and audit-ready documentation • Assist with invoice reconciliation and resolve payment queries • Maintain commercial databases and ensure data integrity • Act as a contact for internal teams and external suppliers regarding commercial queries • Prepare meeting agendas, take minutes, and follow up on actions for Commercial Managers
🎯 Requirements
• Strong organisational skills and attention to detail • Proficiency in Microsoft Office Suite, especially Excel and Word • Excellent communication and interpersonal skills • Ability to manage multiple priorities and work to deadlines • NVQ Level 3 or equivalent in Business Administration or Commercial Practice • Working knowledge of PFI or other FM-related contract frameworks • Previous experience in a commercial or procurement administrative role, ideally within FM or construction • Ability to support procurement activities, manage contracts, assist with tenders, and maintain supplier relations • Ability to ensure activities and documents meet legal and organisational standards and support audits • Ability to prepare and control documents and maintain accurate records • Ability to maintain and analyse data and produce reports • Monday to Friday, 37.5 hours per week
