📋 Description

• Organize, control, execute, and facilitate project activities • Support logistics, planning, coordination, and project finances throughout the project lifecycle • Work with Sales and Technical Operations teams on project kick-offs, equipment ordering and tracking, and project closeout • Create project documents and coordinate vendors • Track procurement and schedule and attend project meetings • Review project conversions and budgets against customer purchase orders and contracts • Coordinate with sales and Project Managers to resolve issues • Provide administrative support to Technical Operations, Project Teams, and local management • Coordinate project billings with Accounts Receivable staff, including AIA billing documents where applicable • Post critical project documentation to enterprise document management portals • Serve as the primary interface between Project Management and Procurement • Assist with Bill of Materials management for active projects • Coordinate project deliveries with Shipping & Receiving, including onsite deliveries and inventory • Support equipment ordering, tracking, documentation, quote approvals, and delivery-status follow-up • Review project financials and prepare billing submittals • Organize monthly cost reports and complete project closeout checklist tasks • Reproduce forms needed for project preparation

🎯 Requirements

• High School Diploma or equivalent • AVIXA CTS or Industry Certifications • 5+ years of experience in a Project Coordinator support role and/or projects-related role • Experience with MS Office suite, especially Excel, Word, Outlook, and PowerPoint, plus Adobe skills • Familiarity with Accounting Systems • Experience with project management software, such as MS Project • Ability and willingness to mentor other team members • Ability to act on behalf of the Project Manager when necessary • Ability to work in a team-oriented environment as well as remote locations • Effective oral and written communication of relevant project information • Ability to adapt to shifting priorities • Analytical and problem-solving capabilities • Ability to elicit cooperation from varied sources and departments • Strong organization and task-switching abilities • Ability to research project-related issues and products • Ability to prioritize and execute tasks in a high-pressure environment
