📋 Description

• Create a variety of legal and other documents by typing, transcription, scanning or other methods. • Document processing includes adapting styles, mail merge, inserting media into presentations, creating cross-references, indexing, creating tables (including financial tables), handling charts and objects, using graphics applications, and more. • Proofread and review documents to ensure they are logical and clear, properly formatted, and free of spelling and grammatical errors. • Compare different versions of documents, verify that revisions are correct, and correct documents in case of alterations. • Develop a practical understanding of the firm’s procedures for producing documents from established precedents. • Respond promptly to requests, meet deadlines, and work cooperatively with other departments and staff across the firm. • Develop word-processing expertise to handle complex legal and other documents. • Proactively manage varied workloads with minimal supervision and oversight. • Quality-check your own work, obtain clarifications when necessary, and review peers’ work as required. • Support team members and act as a mentor when needed. • Properly manage the process for handling document production requests and support requests, including prioritizing needs and coordinating work end-to-end. • Provide firm-wide assistance in preparing documents using the Microsoft suite (e.g., Word, Excel, PowerPoint, Visio). • Log, record and handle all calls, emails, voicemails and visits, and follow up to provide timely support. • Manage issue routing and resolution (call tracking, research, knowledge base updates). • Review issues and procedures related to document production and support; recommend solutions as needed. • Perform other duties as assigned.

🎯 Requirements

• Bilingual in French and English. • College diploma (office administration, legal specialization or related field). • 3 years of experience in a professional environment; document production experience is an asset. • Knowledge of legal terminology, documents and procedures is an asset. • Strong attention to detail and excellent spelling, grammar and proofreading skills in both French and English. • Strong interpersonal skills and tact on the phone; able to communicate effectively and respectfully with clients of the Document Processing Group. • Ability to transfer knowledge in a pleasant, effective and efficient manner using various techniques. • Patient, flexible and able to manage difficult situations effectively. • Organized, highly detail-oriented and strong proofreading skills. • Ability to build excellent interpersonal relationships and handle pressure and stress. • Strong analytical and problem-solving skills, with the ability to envision and present creative solutions. • Ability to adapt to varying work schedules (weekdays, weekends and holidays, as required). • Confidence to work independently, establish priorities and make day-to-day decisions, and to know when to seek supervisor assistance. • Typing speed of 80 to 100 words per minute.
