• Anticipate the CEO's needs and manage routine personal and business tasks • Manage and prioritize CEO's emails and calendar; coordinate meetings and follow-ups • Provide proactive daily check-ins and regular updates via Slack/WhatsApp • Book and manage travel arrangements, accommodations, and itineraries • Organize and prepare for personal and business events; manage personal/family appointments and bills • Act as primary contact for administrative staff; communicate with team members and monitor task progress • Manage ad-hoc administrative tasks: filing, document preparation, procurement • Support small business projects: organize materials, schedule meetings, manage timelines, conduct basic research • Maintain central log of company software/tools, manage user access and audits, set up password management • Establish file naming conventions, organize shared drives, maintain company wiki/knowledge base • Track software licenses, renewals, user seats, and review software usage for redundancies

🎯 Requirements

• Proven experience as an Executive Assistant • Fluent English • Spoken Spanish would be an advantage • Proactive in anticipating the CEO's needs and resolving issues before they arise • Highly organized and detail-oriented • Able to work independently with minimal oversight • Flexible hours • Reliable internet connection and ability to work remotely
