📋 Description

• Coordinate all listing and transaction processes from contract to close, managing timelines, contingencies, and documentation for 20-30 active deals across Delaware and Pennsylvania markets • Lead complete migration from Follow Up Boss to GoHighLevel, organizing client database, segmenting contacts, setting up automated workflows, and ensuring zero data loss during transition • Manage and optimize GoHighLevel CRM including campaign deployment, email/SMS automation, simple funnel creation, squeeze page design, and AI feature implementation for lead nurturing • Serve as bilingual point of contact for English and Spanish-speaking clients, handling inquiries, scheduling showings, coordinating inspections, and providing transaction updates via phone and email • Coordinate communications with escrow companies, title agencies, lenders, and other transaction parties, ensuring all parties remain informed and deadlines are met consistently • Create and maintain standard operating procedures (SOPs) for transaction workflows, listing processes, client onboarding, and follow-up systems to standardize operations and ensure quality • Manage agent's calendar, inbox, and CC-based task management, prioritizing urgent items, scheduling appointments, and ensuring timely responses to all client and partner communications • Implement lightweight project tracking systems for active transactions, maintaining organized checklists and status updates that provide visibility into pipeline health and next actions

🎯 Requirements

• 3+ years of real estate transaction coordination or virtual assistant experience in residential real estate (must-have) • Fluent in English and Spanish with professional communication skills in both languages (must-have) • Proven expertise with GoHighLevel CRM including automation, funnel building, and campaign management (must-have) • Based in LATAM time zones (EST-aligned or within 2-hour difference) for optimal availability (must-have) • Strong understanding of US residential real estate transactions, contracts, and closing processes • Experience with CRM migration and data management, preferably from Follow Up Boss or similar platforms • Exceptional organizational skills with ability to manage multiple concurrent transactions and deadlines • Professional home office setup with reliable high-speed internet connection, backup power, and self-directed operations mindset • **Tools You'll Use:** • CRM & Automation: GoHighLevel (must-have), Follow Up Boss (during migration) (must-have) • Real Estate Platforms: MLS systems, transaction management software (must-have) • Communication: Email, phone system (local number setup available), WhatsApp (nice-to-have) • Documentation: Google Workspace or Microsoft Office Suite (nice-to-have)**Project Management: Asana, Trello, or similar for transaction tracking (nice-to-have)
