📋 Description

• Lead, develop, and manage the Service Business Operations team • Assign responsibilities and manage daily workloads for sales orders, invoicing, documentation, and order administration • Establish standardized procedures, controls, and performance expectations • Monitor transaction accuracy, processing times, backlogs, and outstanding action items • Train, coach, and support team members • Identify process gaps and implement improvements for accuracy, efficiency, and scalability • Escalate and resolve order-entry, billing, documentation, and system-related issues • Oversee creation, processing, maintenance, and closure of service sales orders in SAP • Review purchase orders, quotations, contracts, and scopes of work for accurate sales-order entry • Ensure pricing, quantities, service part numbers, billing terms, cost centers, and customer information are correct • Coordinate service materials and part-number creation and maintenance in SAP • Monitor open orders and complete required updates, corrections, and closures • Coordinate with Finance to issue accurate invoices according to billing schedules • Verify customer acceptance forms, timesheets, service reports, and other invoicing documentation • Track pending, held, rejected, and overdue invoices and coordinate discrepancy resolution • Support milestone, progress, recurring, time-and-material, and project-completion invoicing • Assist with revenue tracking, backlog reporting, forecasting, and month-end financial activities • Support accurate and timely service-revenue recognition and reporting • Communicate with Service Sales Managers regarding quotes, purchase orders, sales orders, and invoicing • Coordinate with Project Management, Service Operations, Business Units, Business Groups, Sales, and Finance throughout the order-to-cash process • Provide updates on open orders, documentation, billing status, and operational risks

🎯 Requirements

• Five or more years of experience in business operations, sales operations, customer service operations, order management, or a related function • Previous experience leading or supervising an operations, order-management, or customer-service team • Demonstrated experience creating and managing sales orders in SAP • Experience working directly with Finance on invoicing, billing, revenue, and payment-related activities • Experience supporting a sales organization in a technical service, field service, manufacturing, or project-based environment • Team leadership and employee development skills • SAP sales-order and transaction management • Financial and invoicing knowledge • Strong attention to detail and transactional accuracy • Effective cross-functional communication • Process development and continuous improvement skills • Strong problem-solving and escalation-management skills • Ability to manage high transaction volumes and competing deadlines • Customer-focused and results-oriented mindset • Ability to work extended periods at a desk using a computer and telephone • Ability to work in confined spaces, distinguish colors, stand, bend, reach, climb, and lift up to 45 lbs • Willingness to travel domestically and internationally as required • Bachelor’s degree in Business Administration, Finance, Accounting, Operations, Supply Chain, or a related field preferred
