📋 Description

• About the Role • We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to support our CEO and three additional senior leaders. • As the right hand to the executive team, you will manage schedules, bookings, and special projects with discretion, professionalism, and efficiency. • The ideal candidate has calendar management experience, strong communication skills, and preferably a background in hospitality, client service, or luxury/event coordination. • Experience with Canva and basic social media management is a plus, but not required. • Key Responsibilities • Manage calendars and scheduling for the CEO and executive team, including coordinating meetings across time zones • Book travel, reservations, catering, and event logistics with a polished, detail-first approach • Act as a liaison via email with warm leads, vendors, and internal/external partners • Draft and manage follow-ups, confirmations, and communications in a timely and professional tone • Assist with light social media coordination or asset creation (experience with Canva is a plus) • Maintain confidentiality and exercise discretion in sensitive communications • Help prepare for leadership meetings and organize executive-level documents • What We’re Looking For • Prior experience as an Executive Assistant or Admin Coordinator, preferably in the hospitality or service industry • Strong calendar and time management skills with the ability to prioritize • Excellent written English; able to communicate clearly, warmly, and professionally via email • Experience coordinating bookings and vendor communication, including catering and events • Highly responsive, detail-oriented, and adaptable to changing needs • Bonus: Experience with Canva, social media platforms, or email marketing tools (Mailchimp, Flodesk, etc.) • Ideal Candidate Traits • Warm and personable but highly professional • Comfortable taking initiative and working with minimal supervision • Resourceful problem solver who anticipates executive needs • Committed to creating polished, elevated experiences for leadership and clients
