📋 Description

• Manage complex and shifting calendars across multiple time zones — balancing strategic priorities, internal meetings, vendors, events, and travel. • Anticipate needs and prepare executives ahead of every meeting or decision point with the right context, data, and materials. • Coordinate detailed domestic and international travel itineraries, accommodations, and logistics. • Process expenses, vendor invoices, and budget tracking with accuracy and discretion. • Handle highly confidential information with professionalism and sensitivity. • Act as a thought partner and execution arm for key initiatives, tracking priorities, following up on deliverables, and surfacing insights to help drive action. • Support strategic projects, leadership off-sites, and company-wide initiatives by managing logistics, communication, and execution. • Prepare and refine board decks, leadership presentations, and internal communications that align with company goals and messaging. • Serve as the point of contact and liaison between executives, internal teams, and external partners — representing leadership with professionalism and clarity. • Lead meeting preparation: agendas, pre-reads, key talking points, and follow-up documentation. • Capture notes, decisions, and next steps, ensuring accountability and progress tracking. • Improve operational efficiency by identifying and implementing process improvements from communication flows to documentation systems. • Partner with other EAs and department leads to drive alignment across teams. • Coordinate strategic projects involving Product, GTM, Technology, and People teams. • Ensure leaders are informed of relevant updates, risks, and opportunities that support better, faster decision-making.

🎯 Requirements

• 5–8+ years of experience supporting C-level or senior executives, ideally in SaaS, hosting, or high-growth tech environments • Highly organized and detail-oriented with the ability to manage multiple priorities simultaneously • Excellent written and verbal communicator — able to draft polished communications and represent leadership effectively • High emotional intelligence with the ability to influence without authority and manage sensitive relationships with discretion and tact • Forward-thinking and proactive — you anticipate challenges, solve problems before they arise, and bring clarity to complex situations. • Comfortable navigating ambiguity and thriving in a fast-paced, evolving environment. • Experience preparing materials for Board of Directors or investors.
