• Support project managers with reporting, budget updates, scheduling, and overall admin coordination. • Upload and maintain documents and data on platforms like Cvent, ensuring accuracy and compliance. • Keep all compliance requirements documented and up to date. • Manage vendor contracts, logistics, and assist with venue, travel, and resource coordination. • Maintain and improve structured reporting tools and organized project folders.
• 5+ years of relevant experience as Admin Assistant, Project Assistant, or Executive Assistant, preferably in the event or hospitality industry. • Knowledge of pharmaceutical/healthcare event regulations and compliance standards. • Strong skills in Microsoft Office and digital event platforms (experience with Cvent is considered a strong asset). • Fluency in spoken and written English & Spanish. • Based in Madrid, available from February 2026, and comfortable with remote work on a 50% part-time schedule.
