• Review contract agreements, project scope, schedules, and drawings to understand project requirements. • Coordinate documentation submission to General Contractors (insurance, contracts, submittals, samples, bonds, etc.). • Assist with internal kick-off meetings and ensure team alignment. • Maintain and update project logs (RFI, Submittal, ASI, SK, Drawings) and escalate outstanding items. • Review daily reports, project photos, and safety documentation for completeness. • Organize and code electronic documents; ensure contracts, insurance, and bonds are current. • Assist PM in preparing/distributing meeting minutes, short interval schedules, and change orders. • Communicate with clients for updates on change order logs and project progress. • Upload and maintain drawings/specifications in Procore. • Prepare Warranty Letters and ensure accurate project completion dates. • Coordinate delivery of attic stock and final documentation to clients.
• 4+ years of Experience with construction project coordination or commercial painting preferably in multifamily or institutional projects (schools, healthcare, DCAM). • Proficiency in project management software (Procore, PlanSwift, Bluebeam, Smartsheet, Sage, or similar). • Strong organizational skills and ability to maintain accurate project documentation. • Ability to handle 15+ active projects simultaneously. • Excellent communication skills in English, both written and verbal. • Ability to multitask and collaborate with remote teams. • Comfortable using Microsoft Office (Outlook, Excel, Word, SharePoint) and Adobe. • Experience with Power BI • Dependable, self-motivated, and team-oriented. • Positive attitude and adaptable to changing project needs.
