• At Coconut, we connect founders and businesses with top-tier remote talent while prioritizing meaningful, reliable partnerships. • We're currently looking for top talent to fill the role of Chief of Staff. • Responsibilities include managing administrative workflows, drafting email communications, overseeing financial operations, providing legal document support, maintaining systems for visibility on deadlines, and supporting special projects such as fundraising and operational readiness. • Strong clarity in writing is essential, and the ability to adapt quickly to new technology and tools is a plus.
• Manage key administrative workflows. This includes scheduling, inbox prioritization, preparing internal documents, and maintaining executive level organization. • Draft and manage email communications on behalf of the CEO when requested. Strong clarity in writing is essential. • Oversee basic financial operations such as preparing payroll (CEO will approve), paying invoices, submitting invoices to customers, tracking receipts. Bookkeeping / accounting support not needed in this role. • Provide lightweight legal document support. This includes reviewing simple agreements, maintaining document libraries, tracking renewal dates, coordinating with external counsel, and flagging issues that require attorney input. • Build and maintain systems that keep deadlines visible. This includes task trackers, compliance calendars, grant reporting timelines, and investor updates. • Support special projects such as fundraising preparation, operational readiness for pilots, grant application assembly, and coordination among stakeholders. • Good to have: Able to break down ambiguous work into clear systems and logical steps. • Highly organized with strong detail retention and consistent execution. • Anticipates needs and thinks ahead to prevent future issues. • Communicates clearly in writing and verbally with all stakeholders. • Quickly adapts to new technology and AI driven tools. • Stays reliable and steady under pressure with multiple deadlines. • Non-negotiable Requirements: 16Personalities test result, Slack competency, Background in Chief of Staff, Operations, EA, paralegal, or similar leadership support roles, Experience working in early stage startups or small team environments, Strong command of productivity platforms and modern AI tools.
