📋 Description

• Provide comprehensive operational and logistical support for the annual Pantheon user conferences • Collaborate with Business Development to develop and refine the Pantheon sponsorship prospectus • Support the sale of sponsorship packages and booths • Partner with the expo hall production team on booth design, layout, and logistics • Own the sponsor-facing website experience, sponsorship SKUs, and web updates • Track sponsorship revenue and maintain accurate financial reporting • Serve as the primary liaison for sponsors and partners • Manage large-scale sponsored events and provide on-site sponsor support • Define internal booth requirements and coordinate booth needs across Customer Programs and Customer Success • Own the expo floor strategy and layout for a 100,000+ sq ft space • Design and curate lounges, activations, stages, and networking spaces • Lead the turnkey booth program and establish design standards • Manage the exhibit house relationship, production, fabrication, and delivery • Translate strategic goals into creative direction with the internal creative team • Coordinate internal stakeholders, sponsors, and vendors • Oversee on-site expo operations, move-in/move-out, booth setup, and issue resolution • Ensure sponsor compliance with booth specifications, deadlines, and operational requirements • Contribute to additional Pantheon workstreams and special projects

🎯 Requirements

• 5–7 years of direct experience in event management • Experience working on large-scale user conferences with 5,000+ attendees • Required proficiency and hands-on experience with Cvent, including website builder, registration logic, and reporting • Proven ability to manage a high volume of vendor invoices • Ability to track expenses and accurately navigate corporate procurement processes • Collaborative team-player with a strong customer-service mindset and high energy • Exceptional written communication skills • Ability to manage external sponsor expectations and internal employee queries • Meticulous attention to detail and disciplined management of multiple complex tasks • Self-motivated and confident taking ownership in a fast-paced environment • Willingness to travel and provide comprehensive on-site support for Pantheon • Hands-on experience working with exhibit houses and managing large-scale expo floor builds • Experience with booth design coordination and on-site execution
