📋 Description

• Create and update tasking tickets, collate tickets, generate ticket-related trend data, metrics, and reports, assist with categorization and assignment, and coordinate high-priority tasking. • Oversee workgroup and cross-functional meeting scheduling and attendance, document meeting minutes, and track action items in Confluence. • Assess platform usage, infrastructure, and resources; conduct capacity analysis and coordinate resource allocation with engineers. • Participate in operational strategic planning, identify risks, set resource allocation priorities, and recommend improvements. • Coordinate with Engineering, Security, Compliance, and Operations stakeholders to identify dependencies, ownership, risks, blockers, and required actions. • Support project management by updating schedules, tracking task statuses, providing stakeholder updates, and creating briefings and presentations. • Oversee Governance Operations administrative tasks and periodically lead supply chain assessment efforts. • Generate service-level, service-objective, availability, and capacity reports, including infrastructure acquisition analysis for the Silo for Research product. • Oversee budgets and financial management for operational projects; forecast resource needs and align expenditures with business objectives. • Collaborate with senior leaders to identify roadmap items, assign tickets, and coordinate effort estimates and tasking recommendations. • Develop and implement Governance Operations policies and procedures to improve efficiency, reduce risk, and ensure compliance. • Track mandatory compliance training, monitor completion, follow up on overdue training, maintain records, and support escalation procedures. • Perform other duties as assigned.

🎯 Requirements

• Bachelor’s degree in Business Administration, Operations Management, Information Technology, Cybersecurity or a related field preferred, or equivalent experience. • 3+ years of professional administrative, operations support, governance, compliance, program coordination, or related experience. • Proven experience in an administrative support role with demonstrated authority in independent decision-making and resource management. • Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) or equivalent software. • Strong written and verbal communication skills. • Excellent organizational and time management abilities. • Attention to detail and accuracy in all tasks. • Strong analytical, problem-solving skills, and the ability to work independently. • Experience working with senior leadership to coordinate tasking and analyze resource allocation. • Budgeting and financial management experience, particularly related to operational projects. • Must be a US Citizen. • Subject to satisfactory adjudication of a background investigation. • Experience with Jira, Confluence, or similar ticketing and documentation systems is highly desirable, including ticket tracking, dashboards, sprint boards, reporting, and workflow coordination. • Cybersecurity, compliance, GRC, audit support, security operations, or IT operations experience preferred. • Experience supporting onboarding, offboarding, access requests, training tracking, compliance evidence management, or governance-related workflows preferred.
