📋 Description

• Process payrolls across Gusto (LLC) and Rippling (Inc), ensuring timely and accurate payments for both salaried and hourly staff and drivers. • Manage bonuses, reimbursements, and deductions (e.g., equipment, per diem, or fuel reimbursements). • Support compliance with multi-state payroll and employment tax regulations. • Coordinate with HR to ensure new hires, terminations, and pay changes are properly updated in payroll systems. • Process vendor invoices, manage payment schedules, and ensure all bills are approved and paid on time. • Track and categorize expenses across Brex, Chase, and other company accounts. • Maintain up-to-date vendor records, including W9s and insurance documentation. • Support client invoicing, monitor incoming payments, and reconcile transactions. • Identify and resolve payment discrepancies in collaboration with the Account Management and Operations teams. • Partner with an external accounting firm (Kruze Consulting) to provide monthly reports, reconciliations, and transaction data. • Maintain financial records for audits, taxes, and compliance filings. • Track recurring costs and recommend process or tool improvements to enhance financial visibility. • Maintain integrations across Gusto, Rippling, Brex, Carta, and QuickBooks Online. • Help standardize and document finance-related SOPs for scale.

🎯 Requirements

• 3+ years of experience in payroll, accounting, or finance operations (startup or logistics experience preferred). • Proficiency with Gusto, QuickBooks Online, and Google Sheets/Excel. • Strong organizational skills with excellent attention to detail. • Ability to manage multiple workflows and meet deadlines in a fast-paced environment. • Clear communicator who can collaborate cross-functionally with HR, Legal, and Operations teams. • Experience with multi-entity or multi-state payroll (preferred). • Familiarity with logistics or trucking operations (e.g., driver reimbursements, variable pay structures) (preferred). • Exposure to tools such as Rippling, Brex, and Carta (preferred).
