• Anticipate CEO's needs; manage routine personal appointments, errands, and time-sensitive admin • Manage and prioritize CEO's emails and calendar; coordinate meetings and follow-ups; provide daily check-ins via Slack/WhatsApp • Book and manage travel, accommodations, itineraries; organize personal and business events; manage personal/family appointments and bills • Act as primary contact for administrative staff; coordinate team, monitor progress, and resolve minor issues; handle ad-hoc admin tasks • Support small business projects: organize materials, schedule meetings, manage timelines, conduct basic research and summaries • Maintain central log of company software/tools, manage user access and perform audits; implement password management and onboarding/offboarding checklists • Establish and enforce file naming conventions; organize shared drives; maintain company wiki/knowledge base; back up critical files • Track software licenses, renewal dates, user seats; review software usage to identify redundancies and notify teams of renewals

🎯 Requirements

• Proven experience as an Executive Assistant • Fluent English • Spoken Spanish would be an advantage • Proactive in anticipating the CEO's needs and resolving issues before they arise • Highly organized and detail-oriented • Ability to work independently with minimal oversight • Flexible hours • Reliable internet connection and ability to work remotely • Experience managing email, calendar, travel arrangements, and personal errands • Experience with communication tools (Slack, WhatsApp) • Familiarity with password managers (LastPass, 1Password, Bitwarden) and software/tools access management • Experience organizing files, shared drives, and company wikis/knowledge bases • Basic research skills and project assistance
