📋 Description

• Maintain Mud Club’s weekly member schedule and master roster • Process temporary and permanent scheduling changes • Coordinate reschedules, pauses, returns, cancellations, and group changes • Review group availability, schedules, capacity, and member information • Keep member placements and recurring schedules accurate • Monitor upcoming changes and complete them on time • Identify conflicts, gaps, incomplete information, and scheduling errors • Maintain clear notes on scheduling status • Review requests and apply Mud Club’s rescheduling rubric and decision rules • Complete multi-step workflows and track dependencies • Distinguish standard requests from exceptions and escalate when appropriate • Ask focused questions when required information is missing • Help identify recurring situations requiring clearer rules or process improvements • Confirm changes with families and notify appropriate OTs or OTAs • Update rosters, member records, scheduling systems, notes, and status fields • Reverse temporary changes at the correct time and fully close requests • Prepare and publish weekly scheduling and operations posts in Microsoft Teams • Communicate schedule changes, reminders, transitions, and operational updates • Monitor Teams conversations and follow up on unanswered questions or incomplete actions • Route clinical, billing, or leadership questions appropriately • Coordinate communication among families, OTs, OTAs, Administration, Billing, and operational staff • Contribute suggestions to improve scheduling workflows, documentation, decision rules, and communication processes

🎯 Requirements

• Experience in scheduling, rostering, dispatch, logistics, operations, coordination, or another detail-intensive role • Ability to solve problems with multiple conditions and constraints • Ability to think in sequences, dependencies, and if–then logic • Ability to follow detailed rubrics and escalate exceptions appropriately • High accuracy and attention to detail • Ability to manage a high volume of active requests • Clear, concise, and actionable written communication • Warm and clear communication with families • Ability to remain calm during multiple simultaneous scheduling problems • Ability to explain why options are or are not available • Reliable follow-through and ability to close process loops • Ability to distinguish authorized decisions from matters requiring escalation • Ability to learn new software and operational systems quickly • Ability to work independently while keeping the wider team informed • Comfort using Microsoft Teams, Microsoft 365 calendars, scheduling platforms, spreadsheets, roster tools, CRM or member-management systems, Jane or similar practice-management software, and shared workflow systems • Familiarity with Minecraft, VR, gaming culture, or youth digital platforms is helpful but not required • Experience managing recurring group schedules, cancellations, reschedules, pauses, waitlists, multiple staff schedules, Microsoft Teams, recurring staff updates, families/clients/customers, service-based environments, written policies or rubrics, or remote work is preferred but not required
