📋 Description

• Manage associate servicing for 50+ associates, including offers, NDAs, matching paperwork, reference checks, invoices, payroll preparation, records, access requests, confirmation letters, and day-to-day questions • Handle team and people administration, including gifts, well-being boxes, team meetups, business trips, offsites, job posts, interview calendars, new-hire accounts, invitations, equipment, and merchandise • Research and evaluate tools and services, document findings, consolidate internal information, format and proofread materials, and prepare finance groundwork • Handle ad hoc operations requests, including vendor research, system data cleanup, surveys, inbox and Slack triage, execution, escalation, and parking of tasks • Verify AI-generated work and maintain accuracy in repetitive workflows • Learn operating procedures during the first 90 days and take ownership of assigned operational blocks • Propose process improvements and automations by the end of the second month • Answer most operational questions independently by the end of the third month

🎯 Requirements

• Junior generalist; most skills can be junior • Exceptional strength in at least one area: very fast learning, AI/technical tools, or commercial experience with contracts, invoices, clients, or e-signature • Strong attention to detail; notices incorrect dates and invoice discrepancies • Ability to read and remember small print • Ability to turn voice notes and scattered messages into clear tasks • Daily use of AI for learning and projects; understands effective prompting • Ability to plan the workday, manage priorities, and raise issues early • Adaptable when plans change • English sufficient to read all materials used and write directly to anyone • Comfortable with long, careful, repetitive work and verifying AI output • Experience with any CRM, database, or banking app is useful for learning Airtable, Brex, TeamTailor, and Copper • Experience as a founder’s assistant, in startup or agency operations, finance, people operations, IT, or product is advantageous • Must be able to work remotely from Ukraine or elsewhere in Europe • Must be available for a fixed schedule in European time with overlap with team calls and responsiveness within one or two hours during working hours
