📋 Description

• Review existing business processes and identify automation and efficiency opportunities • Build and maintain automations across multiple business systems • Integrate Xero, Microsoft 365, SharePoint, GoHighLevel, Dext, HazardCo and Todoist • Automate tendering, project administration, forecasting, contract administration, procurement, invoice processing, progress claims, timesheets, reporting, document management, workflows and notifications • Use AI tools to improve processes, reduce manual work and support decision-making • Connect systems and ensure accurate information flow between platforms • Develop workflows that reduce double handling, data entry and repetitive administrative tasks • Review and improve existing automations for reliability and effectiveness • Troubleshoot issues and adjust systems as business requirements change • Document systems, workflows and automations • Create process documentation and guides for the wider team • Train office staff on new systems and automated workflows • Monitor system performance and identify further improvement opportunities • Work with the business owner to turn operational challenges into technical solutions • Initially understand the business, identify inefficiencies and build core automation systems • Transition into ongoing management, maintenance, optimisation, troubleshooting and development of the automation environment

🎯 Requirements

• Philippines-based candidate • Experience working with construction companies and their project management software and systems • Proven hands-on experience building and implementing business automations • Strong experience integrating Xero with other systems and workflows • Strong working knowledge of Microsoft 365 and SharePoint • Practical experience using AI tools within real business workflows • Experience with APIs, integrations, automation platforms and workflow tools • Ability to understand existing processes and identify where technology can remove manual work • Strong problem-solving and troubleshooting skills • Ability to document technical processes clearly for non-technical users • Experience training teams and supporting adoption of new systems • Strong attention to detail and understanding of reliable system integration • Experience with GoHighLevel, Dext or Todoist is desirable • Experience in construction, trades, property, engineering or another project-based industry is desirable • Experience automating tendering, project administration, invoicing or financial workflows is desirable • Experience with reporting dashboards and business intelligence tools is desirable • Experience implementing AI agents or AI-powered business workflows is desirable • Senior-leaning automation expertise beyond basic AI tools or Zapier-style workflows • Highly proactive and self-directed • Comfortable working independently and with non-technical team members • Commercially minded and focused on practical outcomes • Able to communicate technical concepts clearly • Organised and detail-oriented • Willing to take ownership of implemented systems • Must disclose existing ongoing roles or client work • Must reflect the engagement on LinkedIn as “Independent Contractor”
