📋 Description

• Assist with end-to-end planning and execution of physical, virtual, and hybrid events • Maintain alignment with strategic goals, budgets, and deadlines • Coordinate communications with vendors, venues, and clients • Schedule calls, confirm logistics, and follow up on timelines and deliverables • Organize and update creative and production files, documentation, timelines, and run-of-show materials • Manage real-time updates for event deliverables • Support online event and meeting production • Prepare digital assets and organize participant materials • Troubleshoot basic technical issues • Handle inbox and calendar management, meeting scheduling, RSVP tracking, and internal task management • Source venues, vendor services, and event-related technology platforms • Compare pricing, quality, and availability to support final decision-making

🎯 Requirements

• Minimum 2.5–5 years working in event planning, production, or operations • Experience with hotel and conference events • Familiarity with the structure and pace of event timelines and deliverables • Strong organizational skills; able to juggle multiple projects, timelines, and stakeholders while maintaining attention to detail • Excellent written and verbal English communication • Proactive issue flagging and confidence managing client and vendor follow-ups • Comfortable using project management, event registration, scheduling, and virtual meeting software • Microsoft/Google Suite proficiency • Asana knowledge is a plus • Ability to work independently based on leadership direction or established SOPs • Ability to work remotely as a trusted team member and liaison • Ability to manage multiple projects in a fast-paced environment • Strong attention to timing and detail • Strong background in business
