• Respond to incoming admission inquiries from prospective patients, families, referral sources, healthcare providers, and community partners • Conduct initial telephone screenings and gather information to determine potential eligibility and next steps • Document demographic, clinical, medical, insurance, referral, and admissions information in electronic systems • Guide prospective patients and families through the admissions process • Coordinate with clinical and medical teams to review prospective admissions and determine appropriate level of care • Follow up with prospective patients, families, referral sources, and internal teams • Coordinate admissions with facility and operational teams for placement and arrival planning • Collaborate with Business Development to facilitate referrals and communicate with referral partners • Collect outside medical records, clinical documentation, medication information, and other admission materials • Support insurance verification, benefit eligibility, and financial coordination • Assist with transportation, travel, and other admission logistics • Provide referral resources when admission criteria are not met or another provider or level of care is more appropriate • Track admissions activity, communications, follow-up efforts, referrals, outcomes, and operational metrics • Identify barriers to admission and collaborate with leadership and operational teams to improve efficiency and patient experience • Represent Ascension Recovery Services and partner organizations professionally • Protect confidential patient information and follow HIPAA, 42 CFR Part 2, company policies, regulatory requirements, and accreditation standards • Participate in evening, weekend, and on-call admissions coverage • Perform other duties supporting Admissions operations and organizational needs
• Bachelor’s degree in social services, behavioral health, healthcare administration, business, management, or a related field preferred • Relevant behavioral health, healthcare, admissions, or case management experience may be considered in place of a degree • Peer Recovery Specialist certification is a plus • Two or more years of experience in behavioral health, substance use disorder treatment, healthcare, admissions, intake, case management, or a related field strongly preferred • Previous experience in admissions, intake, call center operations, care coordination, or referral management preferred • Experience working with individuals with substance use disorders and co-occurring mental health conditions strongly preferred • Evening and weekend availability required • Ability to use computers, telephones, video conferencing, electronic medical records, CRM systems, and other communication platforms • Knowledge of HIPAA, 42 CFR Part 2, company policies, applicable state and federal requirements, and accreditation standards • Ability to maintain confidentiality and appropriate professional boundaries • Occasional travel or in-person attendance may be required
