📋 Description

• Process invoices end-to-end, including intake, coding, approval routing, and payment runs in Bill.com • Reconcile company credit card transactions in Brex using QuickBooks Online • Ensure accurate general ledger coding and expense classification • Respond to payment inquiries from team members and vendors • Flag spend anomalies, miscodes, missing approvals, duplicate invoices, and unusual vendors • Support month-end close activities, including balance sheet reconciliation updates and resolving outstanding items • Handle vendor setup and W-9 collection • Maintain accurate documentation and a clean audit trail • Contribute to ad-hoc spend analysis, process documentation, and lightweight AI-assisted automation projects

🎯 Requirements

• At least 2–3 years processing accounts payable or doing similar finance operations work • Proficiency with QuickBooks Online and at least one AP or spend management tool (Bill.com, Brex, or similar) • Experience using Excel or Google Sheets for reconciliation, variance flagging, and basic spend analysis • Familiarity with general ledger coding, expense classification, and W-9/vendor file hygiene • Experience handling corporate credit card programs or expense reconciliation • Experience working in a remote or distributed environment with async communication • Residency in the continental United States • Ability to communicate clearly with teammates who do not have a finance background • Accuracy, organization, independent prioritization, and comfort with shifting priorities • Experience using AI tools or accounting automation platforms to reduce manual work (nice to have) • Experience supporting month-end close activities (nice to have)
