• Procure replacement components, repair materials, tools, and supplies for field service, warranty claims, internal repairs, and customer service • Convert approved service requirements and purchase requisitions into accurate purchase orders • Prioritize purchasing based on customer impact, equipment downtime, technician schedules, service urgency, and repair turnaround • Review specifications, manufacturer part numbers, drawings, bills of materials, and purchasing history to identify correct components • Track purchase orders, supplier acknowledgments, committed ship dates, expected receipt dates, and delivery information • Expedite critical and past-due materials to minimize customer and equipment downtime • Coordinate with suppliers, distributors, manufacturers, freight providers, and shipping partners to accelerate deliveries • Identify delays and escalate critical risks • Evaluate expedited transportation options, including next-day shipping, air freight, courier services, and other premium methods • Maintain visibility of requirements from purchase order placement through delivery to technicians, repair facilities, or customers • Identify alternate or secondary suppliers and coordinate approval of substitute components • Develop secondary-source strategies for critical service parts • Solicit and evaluate supplier quotations • Negotiate pricing, delivery commitments, minimum-order quantities, rush fees, and expedited-shipping terms • Serve as the primary Supply Chain liaison for Service and Warranty material requirements • Provide updates on part availability, arrival dates, delays, risks, and recovery actions • Maintain a prioritized list of open service and warranty requirements • Escalate critical shortages and supplier constraints • Partner with Service, Warranty, Engineering, Quality, Operations, Warehouse, Inventory, and Finance teams • Build relationships with OEMs, distributors, repair facilities, and specialty suppliers • Identify recurring shortages and recommend stocking, sourcing, and supplier strategies • Identify cost-reduction opportunities through alternate sourcing, volume agreements, stocking arrangements, supplier negotiations, and repair-versus-replace strategies • Resolve damaged materials, incorrect parts, shortages, missing shipments, pricing discrepancies, invoice issues, and documentation errors • Coordinate returns, repairs, replacements, RMAs, and supplier warranty claims • Coordinate direct-to-customer, direct-to-technician, and expedited shipping arrangements • Maintain purchasing and material information in ERP/MRP and inventory-management systems • Monitor open, past-due, and unacknowledged purchase orders • Analyze usage, failure trends, historical demand, and lead times to recommend stocking and safety-stock levels • Help establish critical spare-parts lists and replenishment strategies • Support cycle counting and inventory accuracy • Identify excess, obsolete, or superseded inventory and support disposition • Participate in Service and Warranty meetings and provide material-status, risk, and recovery updates • Perform other duties as assigned
• High school diploma or equivalent • Three or more years of purchasing, procurement, supply chain, or expediting experience • Demonstrated experience managing urgent material requirements and supplier expedites • Experience working directly with suppliers, distributors, freight providers, and internal operational teams • Proficiency with ERP/MRP and inventory-management systems • Strong Microsoft Excel skills, including filtering, sorting, VLOOKUP/XLOOKUP, pivot tables, and data tracking • Ability to analyze open-order reports, inventory data, supplier commitments, and material requirements • Ability to research manufacturer part numbers, specifications, alternate components, and supplier availability • Strong supplier-management and negotiation skills • Excellent written and verbal communication skills • Strong organizational skills and attention to detail • Ability to manage multiple urgent priorities in a fast-paced environment • Ability to work effectively across Service, Supply Chain, Engineering, Quality, Operations, Warehouse, Finance, and external suppliers • Ability to work with domestic and international suppliers across multiple time zones • Flexibility to support urgent service requirements outside normal business hours when customer or business needs require • Ability to travel occasionally for supplier visits, service operations, company meetings, or other business needs • Sound judgment when balancing customer downtime, material availability, premium freight, and total cost • Preferred: Associate’s or Bachelor’s degree in Supply Chain Management, Business, Operations, or a related field • Preferred: Purchasing or supply-chain experience within manufacturing, electrical equipment, heavy equipment, automotive, industrial, repair, or field-service operations • Preferred: Experience sourcing replacement, repair, or aftermarket components • Preferred: Experience using NetSuite • Preferred: Experience with procurement, supplier-management, and material-planning tools • Applicants must be authorized to work in the U.S. without the need for sponsorship now or in the future
