📋 Description

• Serve as the main point of contact for clients throughout each genealogy project • Build rapport through clear, timely, and empathetic communication via email, phone, and video meetings • Onboard new clients by reviewing goals, guiding them through the New Client Checklist, and answering questions about the research process • Set up projects by collecting and organizing client materials, including documents, family trees, and DNA access • Collaborate with internal teams to ensure deliverables are clear, polished, and aligned with client expectations • Review research results from the client’s perspective and edit reports and updates for clarity, compassion, and professionalism • Troubleshoot concerns and guide clients through unexpected findings with care and sensitivity • Support client reorders by identifying ongoing research needs and suggesting appropriate next steps • Maintain client satisfaction metrics, reorder rates, and internal communication logs using project management tools • Proactively identify and resolve issues before escalation • Provide front-line client relations and project management rather than behind-the-scenes genealogy research

🎯 Requirements

• Warm and professional communication via phone, email, and text • Ability to build client trust and put clients at ease • Empathy and enjoyment of helping others • Excellent attention to detail and ability to manage multiple responsibilities and deadlines • Comfort following and improving internal processes • Ability to remain calm under pressure and de-escalate concerns • Ability to learn new tools and navigate technology platforms • Passion for genealogy • Comfort with Microsoft Office suite, particularly Word and PowerPoint; OneDrive experience is an advantage • Familiarity with Google Docs Editors suite, including Google Docs and Google Sheets • Experience with genealogy software; Legacy Tree uses RootsMagic • Quiet, dedicated workspace • Reliable computer, at least two monitors, and strong internet access • Bachelor’s Degree or equivalent work experience is an advantage • Personal or professional genealogical research experience is an advantage • Experience in customer service, hospitality, or another client-facing role is an advantage • Experience supporting emotionally sensitive or personally meaningful client journeys is an advantage • Ability to work most hours flexibly between 8am–6pm MT, Monday through Friday • Ability to work 25–29 hours per week
