📋 Description

• Support clients and families through Lightfully’s four-phase admissions process and help them enter the appropriate program and level of care • Deliver a concierge-level experience from first contact through day-one arrival • Manage an individual caseload and document every admissions step in Salesforce CRM • Respond empathetically to inquiries via phone, live chat, web forms, and other channels • Build rapport, set expectations, and explain program options, levels of care, and next steps • Complete real-time CRM documentation and capture referral, payor, acuity, and treatment-request information • Obtain releases and records and ensure data quality for clinical decisions and program teams • Schedule clinical assessments and obtain records for abbreviated assessments or records reviews • Verify insurance benefits, discuss financial expectations and patient responsibilities, and coordinate with Client Financial Services • Identify exclusionary criteria and redirect clients to appropriate resources • Coordinate program availability, census management, admission preparation, logistics, and arrival details • Conduct reminder calls and texts to reduce no-shows • Collaborate with Clinical, Finance, and Outreach to resolve admission barriers • Escalate issues and counselor development needs to the Director of Admissions • Participate in daily huddles, rounds, and case conferences • Maintain CRM hygiene, manage pipeline reports, prioritize follow-ups, protect privacy, and maintain HIPAA compliance • Ensure daily shift coverage and adherence to PTO policies

🎯 Requirements

• Bachelor’s degree or equivalent experience • At least 1 year of patient-facing healthcare experience required, preferably in behavioral health or admissions • Experience with CRM platforms or electronic health record systems required; Salesforce experience preferred • Must pass an extensive background check • Effective, compassionate communication with patients and families • Strong motivational interviewing or similar patient engagement skills • Ability to explain insurance coverage, benefits, and financial terms in plain language • Ability to remain calm, empathetic, and solution-focused with individuals in distress or crisis • Proficiency with electronic health record systems, CRM platforms, or related documentation tools • Exceptional organization, attention to detail, independent work, and multitasking skills in a remote environment • Excellent written and verbal communication skills in English • Proficiency in Microsoft Word, Excel, and PowerPoint • Ability to present information and respond to questions from leadership, staff, patients, referents, and the public • Ability to maintain confidentiality and HIPAA compliance • Ability to communicate by phone, electronic correspondence, and in person • Ability to operate in occasionally noisy environments and sit at a desk using a computer for prolonged periods • May need to stand, sit, stoop, bend, and lift or move up to 20 lbs. • Ability to work respectfully with people from diverse backgrounds • Ability to navigate crises and solve problems independently using judgment and critical thinking
