• Prepare and manage project and departmental budgets, forecasts, and financial reports, monitoring expenditure against budgets and flagging variances or risks • Manage day-to-day financial operations, including accounts payable and receivable, vendor payments, purchase orders, invoice processing, and cash flow oversight • Maintain accurate financial records across systems (Xero, Nexudus, Hubdoc), including reconciliations (bank, Stripe, GoCardless, Fat Zebra, Weel) and audit-ready documentation • Support payroll processing, compliance (STP, superannuation), month-end close, and fixed asset management, liaising with external accountants (Aintree Group) • Support project coordination activities including scheduling, work-plan tracking, meeting preparation, and follow-up on action items • Assist with procurement, contract administration, vendor onboarding, and maintenance of project and supplier documentation (including fit-out details) • Maintain accurate project and financial data, including databases and reporting logs, ensuring data integrity and timely submission of reports
• Min 3.5 years as Finance and Project Coordinator or similar • Strong understanding of financial processes (budgeting, invoicing, reconciliation). • Excellent organizational, multitasking, and time-management skills. • Strong communication and stakeholder-coordination abilities. • High attention to detail and accuracy in financial and administrative tasks.
