📋 Description

• Administer employee benefits programs end-to-end, including enrollments, life events, qualifying status changes, billing reconciliation, and employee questions • Resolve benefits eligibility, claims, and carrier escalation issues • Conduct new-hire benefits orientations and support open enrollment planning and execution • Own ACA tracking, compliance reporting, and 1095-C preparation • Reconcile monthly benefits invoices and coordinate with Finance on discrepancies • Maintain and audit benefits records in the HRIS • Monitor and communicate regulatory changes affecting benefits, including ERISA, HIPAA, ACA, and COBRA • Support Section 125 plan administration, including HSA and FSA accounts • Own multi-state leave compliance and monitor new and pending state legislation • Assess regulatory impacts, develop recommendations, and implement policy or process changes • Serve as the internal subject matter expert on leave compliance • Administer FMLA, ADA accommodations, parental leave, short-term and long-term disability, and state-specific leave programs • Manage leave cases from initiation through return-to-work, including notices, eligibility tracking, coordination, and documentation • Partner with managers on ADA interactive processes and reasonable accommodation requests • Coordinate with state programs, disability carriers, and benefits vendors • Handle workers’ compensation claim intake and coordination • Monitor leave expirations and communicate next steps • Coordinate performance review cycles and track completion • Assist with compliance audits, federal/state reporting, and required notices • Support offboarding, separation documentation, and final pay coordination • Develop, update, and communicate HR policies and procedures • Back up the senior recruiter when multiple job postings are open • Build more efficient benefits and leave processes through systems, AI, and automation

🎯 Requirements

• 3–5 years of dedicated, hands-on experience in benefits administration and leave of absence management • Experience administering NY DBL/PFL or a comparable state statutory disability or PFML program • Working knowledge of FMLA, ADA, COBRA, and state-specific leave laws across multiple jurisdictions • Habit of staying current on multi-state leave law, regulatory updates, and pending legislation • Ability to research new leave laws, assess their application, and provide recommendations • Strong command of FMLA, ADA, ACA, ERISA, HIPAA, FLSA, and COBRA • Experience with ACA compliance, tracking, reporting, and 1095-C coordination • Comfortable with HRIS and benefits administration platforms; able to learn and use systems accurately • Clear written and verbal communication and ability to translate regulations into plain-language guidance • Self-directed work style and ability to identify priorities and build tracking systems • High integrity when handling sensitive, confidential, and legally complex employee matters • Ability to manage a high volume of concurrent cases • Proactive communication regarding schedule changes or absences • High School Diploma or GED required • Consistent, reliable high-speed internet access and a dedicated, quiet workspace • Must legally reside in and be eligible to work in the United States • Applicants cannot be located in Alaska, California, Hawaii, or Washington D.C. • Coverage required from 9:00 AM–5:00 PM ET, with occasional work outside core hours during busy seasons • PHR, SPHR, SHRM-CP, or CLMS certification (nice to have) • Life, Accident & Health Insurance License (nice to have) • Experience with Greenhouse ATS or Patriot Software Payroll & Accounting (nice to have)
