• Manage and execute site payments in compliance with Clinical Trial Agreements and individual site staff agreements • Manage and execute participant payments in line with regulatory requirements and client policies • Record payment transactions and updates accurately in relevant electronic systems • Prepare and process payment requests in the Smart Grant system according to required timelines • Create Purchase Orders based on established contract values in coordination with Budget & Contract Specialists and Trial Managers • Set up new suppliers for newly engaged site staff participating in clinical trials • Track and monitor payment status, identify and resolve issues, and report inaccuracies • Develop and implement site payment optimization processes with stakeholders, external HCP and HCO, local departments, and CDC Teams • Coordinate with Budget & Contract Specialists, Study Start-up Specialists, Trial Managers, Legal, and Finance Teams • Handle financial correspondence related to site payment processes • Communicate with sites and clinical teams regarding payment status and resolve questions or updates • Act as a subject matter expert for site payment processes and inquiries • Ensure high-quality execution of clinical trial payment activities in compliance with ICH-GCP, regulatory requirements, and internal SOPs
• 1-3 years’ experience in clinical studies, pharma/biotech, or financial operations, ideally with global exposure • Bachelor’s degree in finance, accounting, business, science, or a related field is required • Demonstrated experience in handling payments within clinical research or pharmaceutical settings • Strong understanding of clinical trial payments and familiarity with investigator contracts • Strong business acumen and understanding of business operations, financial drivers, and market dynamics • Strong interpersonal and communication capabilities, fostering collaboration across matrixed and cross-functional teams • Proactive and accountable approach to issue identification, resolution, and continuous improvement • Proven ability to manage conflict and deliver solution-oriented outcomes with internal and external stakeholders • Excellent organizational and analytical skills, with the ability to manage multiple priorities in a dynamic environment • Strong attention to detail while maintaining a high-level overview and ensuring overall quality • Demonstrated ability to ensure high-quality execution of payment activities in compliance with ICH-GCP, regulatory standards, and company policies • Technical aptitude in using electronic payment systems and related digital tools • Legal right to work in the country where the role is based
