• Provide administrative support within the department and serve as principal assistant to leadership. • Perform advanced and complex administrative assignments, including department accounts, with independent judgment. • Provide work leadership to other support staff. • Prepare and review reports and documents; attend meetings and take minutes. • Oversee office management systems and screen and direct calls. • Manage administrators' calendars, travel, and project timelines. • Develop procedures and schedules to meet departmental operational needs. • Maintain records and reports of activities. • Share information, policies, and operating procedures with faculty, staff, students, parents, and visitors. • Prepare administrative reports, analyses, operating-budget data, and financial reports. • Coordinate departmental accounts, expenditures, property controls, orders, and expense allocations. • Liaise with leadership, administrators, faculty, staff, students, visitors, external agencies, and organizations. • Arrange accommodations and coordinate activities for visitors and special events. • Coordinate conference-room use, calendars, seminars, workshops, and departmental activities. • Develop informational materials, presentations, communications, and publications. • Supervise up to two support staff, assign work, ensure training, and conduct performance evaluations. • Perform other duties as assigned.
• Associate's degree and 3 years of progressively responsible experience in administrative support required, or equivalent combination of education and experience. • Proficiency with Microsoft Suite, FileMaker Pro, virtual collaboration tools such as Zoom and Box, and Adobe. • Knowledge of office procedures, database entry principles, customer service and public relations principles, mathematics, mailing and distribution methods, training principles, leadership principles, budget administration, inventory and supply maintenance, and event planning. • Ability to communicate and interact effectively, verbally and in writing, with all people. • Intermediate knowledge of hardware and software functionality preferred.
