📋 Description

• Coordinate mobilization efforts for four active field projects and prepare 200+ personnel for project start dates and staggered arrivals • Manage workforce mobilization logistics for 200+ employees across multiple job sites • Organize rental vehicle assignments around employee drug-testing schedules • Rebook flights and adjust rental car, hotel, onboarding, and badging schedules during travel disruptions • Administer random drug testing operations for day and night shifts, including expedited 24-hour turnaround • Reconcile CTA card transactions, categorizing 1,000+ line items by job activity and location • Coordinate rental vehicle swaps and contract extensions across shifts and weekends • Process vehicle damage reports and arrange towing or replacements • Maintain DISA rosters for customer sites and deactivate personnel in DISA and OSCA systems upon job completion • Track rental vehicle mileage across multiple job sites • Manage hotel accommodations, check-ins, and weekly invoice reconciliation • Reconcile company P-card transactions with safety council invoices • Coordinate rapid redeployment of personnel between projects, including safety compliance, drug testing, mobilization, and lodging • Maintain workforce rosters and submit mobilization/demobilization data for payroll processing and billing • Conduct weekly hotel-folio reconciliation to ensure accurate billing, check-outs, and prevention of overcharges • Support Project Managers and Site Managers • Report to the Director of Industrial Projects

🎯 Requirements

• High school diploma or equivalent required • Associates degree preferred • 5+ years' experience in travel, site safety onboarding • Ability to plan and book travel, hotel, and transportation • Knowledge of site safety specifics, drug and background clearances • Experience supporting project and site managers • Experience reconciling corporate travel account transactions • Ability to administer random drug testing operations, including 24-hour turnaround requirements • Ability to maintain DISA and OSCA rosters and process personnel deactivations • Ability to manage workforce rosters and mobilization/demobilization data for payroll and billing • Ability to work across day and night shifts, weekends, and seven days a week as needed
