Hauler Hero is a cloud-based SaaS platform that helps waste-hauling companies optimize operations, increase efficiency, and reduce costs. The product bundles CRM, drag-and-drop dispatching and routing, billing, reporting, a mobile driver app, and customer-facing portals, plus developing AI features (Hero Vision, Hero Chat, Hero Routing) for automated pickup documentation, self-service support, and real-time route optimization. It’s designed for office staff, dispatchers, drivers, and managers to improve route productivity, cash collection, and customer experience.

📋 Description

• Monitor municipal, state, federal, and private procurement portals to identify relevant RFPs, RFIs, RFQs, cooperative purchasing opportunities, vendor programs, and other bid opportunities • Review opportunities for fit, including scope, eligibility requirements, deadlines, evaluation criteria, contract terms, and strategic value • Maintain a pipeline of open, upcoming, submitted, and awarded opportunities • Register Hauler Hero in relevant procurement portals and vendor systems • Complete company profiles, upload required documentation, track renewal dates, maintain login information, and coordinate approvals • Complete vendor compliance, tax, insurance, supplier, certification, and other procurement-related forms • Manage proposal responses from intake through submission • Review requirements, build response timelines, track internal owners, collect inputs, draft responses, coordinate revisions, confirm attachments, and prepare complete submissions • Write and edit proposal responses covering Hauler Hero’s product, value proposition, implementation approach, customer support model, technical capabilities, reporting tools, integrations, security practices, and waste industry experience • Translate product and operational details into clear, buyer-friendly language • Collaborate with sales, customer success, implementation, product, finance, legal, marketing, and leadership • Follow up with stakeholders, ask clear questions, track open items, and keep processes moving • Build and maintain a reusable proposal content library • Support onboarding, product and customer-base learning, active RFP coordination, deadline tracking, portal research and registration, drafting, editing, and submission support • Independently manage defined parts of the RFP process within 90 days

🎯 Requirements

• 2–5 years of experience in proposal writing, RFP coordination, sales enablement, marketing, business development, procurement support, legal operations, or a related role • Excellent written English, with the ability to write clearly, professionally, and persuasively • Strong spoken English and comfort communicating with U.S.-based teammates • Strong project management and organizational skills • High attention to detail, especially around deadlines, formatting, compliance requirements, attachments, and submission instructions • Ability to translate technical or operational information into clear business language • Comfort working cross-functionally with sales, marketing, product, customer success, finance, legal, and leadership • Confidence following up with stakeholders and keeping work moving • Good judgment around prioritization, deadlines, and when to escalate issues • Comfort using Google Workspace, Microsoft Office, HubSpot, Notion, procurement portals, and AI-assisted writing tools • Reliable high-speed internet • Availability during core U.S. business hours • Candidates must be based in LATAM • Comfortable working as an independent contractor for a U.S.-based company • Experience supporting RFPs, proposals, procurement responses, sales enablement materials, legal/compliance submissions, or similar customer-facing business documents • Bonus: experience responding to municipal, state, federal, or enterprise RFPs • Bonus: experience working with U.S.-based companies or customers • Bonus: experience in SaaS, GovTech, vertical SaaS, logistics, transportation, waste, recycling, field services, or public works • Bonus: familiarity with procurement portals or vendor registration systems • Bonus: experience managing proposal content libraries or knowledge bases • Bonus: experience writing technical, security, implementation, or customer support responses • Bonus: experience with HubSpot, Loopio, Responsive/RFPIO, GovWin, Bonfire, PlanetBids, BidNet, OpenGov, SAM.gov, or similar tools • Bonus: legal, paralegal, contract administration, or procurement support experience
