📋 Description

• Run client onboarding: set up files, capture client information, and confirm required documentation is in place • Follow up on outstanding contracts and required documentation • Support contracting activity across the client lifecycle • Maintain client files and internal records • Manage audit plan follow-ups and pre-audit check-ins • Support ongoing compliance monitoring tasks • Support the certification process end to end on the administrative side • Issue, track, and maintain client certificates • Handle transfer clients moving their certification across from another audit body • Keep certification records accurate and audit-ready • Prepare auditor briefing packs • Maintain auditor communication and scheduling • Ensure auditors receive required materials in advance • Track audit deliverables and report timelines • Act as a clear, responsive point of contact for clients on scheduling and logistics • Keep clients informed and expectations aligned throughout the audit lifecycle • Handle occasional client conversations about short-notice audit changes and applicable fees • Maintain internal Notion documentation and tracking systems • Keep operational trackers and records accurate • Ensure shared folders and documentation remain organised

🎯 Requirements

• Backgrounds that work well: operations assistant, project coordination, delivery coordination, or junior operations roles inside startups or service businesses • Extremely detail-oriented and highly organised, comfortable handling multiple operational tasks at once without anything falling through the cracks • Fast and responsive, able to follow structured processes without needing to be chased • Able to problem-solve and pick up unfamiliar material quickly • Strong written communication, and confident, professional communication with clients • Ability to work quickly and accurately through a high volume of administrative tasks • Ability to learn technical operational details and resolve unfamiliar situations independently
