📋 Description

• Serve as the first point of contact for allocated patient concierge projects after handover from the Illingworth Global Project Start-Up team • Provide day-to-day oversight and closeout of patient concierge projects • Liaise with PCS Coordination, Finance, IT, CRO clients, sponsors, trial sites, vendors, and Illingworth business units • Provide project-specific training to PCS coordinators and oversee their work • Attend handover and client kickoff meetings and understand study indications, patient demographics, budgets, deliverables, and timelines • Set up trial environments within the PatientGO portal • Lead creation and translation of site, ethics, and patient-facing materials • Guide clients on travel and expense reimbursement policy setup and management • Manage project budgets, financial and activity forecasts, monthly invoices, reconciliations, and change orders • Manage external vendors against service-level and contractual agreements • Conduct monthly project reviews and report study progress, finances, relationships, risks, resources, and vendors • Develop collaboration opportunities with Research Nursing and Medical Imaging divisions • Coordinate expense reimbursement materials and patient welcome packs • Maintain project communications, lead meetings, and distribute notes and actions • Review and approve project timesheets against visit trackers and budget allowances • Coordinate with Research Nursing project leads for joined-up client delivery • Develop and grow the Patient Concierge Services team with the Director and Business Development • Maintain oversight trackers and business continuity records

🎯 Requirements

• Equivalent experience, skills, and/or education will be considered • Knowledge of relevant guidance, regulations, and procedures • Willingness and ability to travel both home and abroad for possible face-to-face client and vendor meetings • Ability to manage clinical project budgets, forecasts, invoices, reconciliations, and change orders • Ability to oversee external vendors and contractual/service-level agreements • Ability to manage project communications, meetings, documentation, and stakeholders • Ability to work in accordance with clinical SOPs, GCP, and applicable regulatory requirements
