• Coordinate and manage patient appointment scheduling for DME, PAP devices, and oxygen therapy services • Schedule delivery appointments based on patient needs and technician availability • Manage new-equipment appointments and multi-visit installations for complex medical devices • Arrange maintenance visits, equipment exchanges, compliance checks, and equipment pickups • Prioritize urgent requests, including emergency oxygen deliveries, CPAP failures, and equipment replacements • Coordinate after-hours and weekend service delivery when required • Contact patients to confirm appointments, provide delivery windows, and communicate schedule changes or delays • Manage scheduling inquiries and provide customer service to patients and healthcare providers • Collaborate with physicians’ offices, home health agencies, and hospital discharge planners • Handle cancellations, rescheduling, conflicts, and appointment-slot optimization • Maintain scheduling records, patient information, and appointment outcomes • Generate daily, weekly, and monthly scheduling reports and performance metrics • Use scheduling software, route optimization tools, and patient management systems • Update scheduling preferences, delivery instructions, and access requirements • Support quality assurance initiatives and compliance with operational standards, HIPAA, and AdaptHealth’s Compliance Program • Lead specialist duties include serving as a subject matter expert, conducting new-hire training, and mentoring the team • Complete assigned compliance training and other education programs • Perform other related duties as assigned
• High school diploma or equivalent required • Associate’s degree in business administration, Healthcare Administration, or related field preferred • Previous experience in healthcare scheduling, customer service, or administrative support preferred • Specialist Level (Entry Level): One (1) year of work-related experience • Senior Level: One (1) year of work-related experience plus Two (2) years exact job experience • Lead Level: One (1) year of work-related experience plus Four (4) years exact job experience • Advanced proficiency in scheduling software, route optimization tools, Microsoft Office Suite, and patient management systems • Knowledge of healthcare scheduling best practices, patient care coordination, and medical equipment delivery coordination • Understanding of DME, PAP, and oxygen therapy equipment, patient care requirements, and healthcare delivery timelines • Excellent verbal and written communication skills and professional phone manners • Exceptional time management, diligence, multitasking, and ability to manage competing priorities • Strong analytical and critical thinking skills and ability to resolve scheduling conflicts • Ability to work independently with minimal supervision and collaborate with cross-functional teams • Proficiency with computers, office equipment, telecommunications systems, and scheduling software applications • Ability to manage confidential patient information with discretion • Flexibility for occasional extended hours during emergency situations or peak operational periods
