📋 Description

• Run the virtual primary care practice from open to close and ensure scheduled patients are seen • Monitor appointment activity, provider delays, patient connections, and missed visits; correct issues in real time • Maintain staffing coverage during busy hours and plan for breaks, lunches, and absences • Lead daily team meetings and shift handoffs • Own visit, technology, and patient escalations through resolution and address root causes • Execute staffing plans, reassign staff, adjust breaks and lunches, and redirect coverage • Manage schedule adherence, shift swaps, same-day absences, and planned overtime • Provide workforce operations with intraday staffing insights for improved forecasting • Participate in interviewing, selection, onboarding, and identification of coverage gaps • Oversee inbound calls, outbound outreach, and text messaging • Partner with technology teams on phone and messaging systems • Drive appointment scheduling and visit completion • Maintain performance reporting, identify trends, quantify impact, and recommend actions • Set productivity and quality expectations; coach supervisors on performance, documentation, and accountability • Ensure workflows meet clinical standards, HIPAA, and health plan requirements; support audits and reporting • Design, document, test, and train staff on new workflows • Lead, develop, and hold supervisors accountable; build bench strength and clarify role boundaries • Manage retention, turnover, employee satisfaction, and engagement • Foster a connected and recognized remote-team culture

🎯 Requirements

• Healthcare background required, with direct experience in a clinical, medical practice, or patient-facing healthcare setting • Experience in a virtual care practice or contact center environment required • Ability to manage multiple concurrent workflows, including daily operations, escalations, reporting, and projects • Minimum 3 years of people leadership experience, including managing supervisors or team leads in a clinical or high-volume service setting • Experience managing coverage, adherence, and real-time staffing decisions against a published schedule • Demonstrated success retaining staff and reducing attrition • Comfortable building and reading operational reports in Excel or a dashboard • Proficiency with electronic health record and practice management systems, telehealth platforms, and patient phone or messaging systems • Understanding of HIPAA, patient privacy, and healthcare compliance obligations in a remote work environment • Availability for extended hours, including rotating weekend and holiday coverage • Windows or Apple macOS computer only; no Chromebooks, Linux machines, or smartphones • Windows 10 or macOS 14 Sonoma minimum • Intel Core i5 or AMD equivalent processor for Windows, or Apple Silicon for Mac • 16 GB RAM • Wired headphones required; built-in microphones are not permitted • Minimum internet speed of 100 Mbps download and 50 Mbps upload • Ethernet cable connecting the computer directly to the router • Google Chrome with Amazon Workspaces • Webcam required for video calls • Reliable internet connectivity and a secure, private workspace • Preferred: active or previously held RN, LPN/LVN, or certified MA license or certification • Preferred: Medicare Advantage or health plan quality program experience • Preferred: experience in a growing healthcare organization
