📋 Description

• Coordinate with vendors to follow up on newly placed orders • Confirm and document delivery dates and maintain visibility into upcoming, delayed, and overdue deliveries • Monitor invoice status for fulfilled orders and track delayed or missing vendor invoices • Escalate invoice and order issues to procurement or finance teams • Maintain accurate, audit-ready records of orders, deliveries, invoices, and project-related communications • Review project and budget status, manage schedules, and prepare status reports • Identify project or supply chain issues, develop resolutions, and implement monitoring mechanisms • Oversee operational aspects of ongoing projects • Liaise among vendors, project management, planning, project teams, line management, procurement, finance, and clients • Manage multiple workflows and support smooth execution across teams • Perform additional duties as assigned or required

🎯 Requirements

• 0 years of experience with a Bachelor's degree in a related field, or a High School Diploma or equivalent and 4 years of relevant experience • Experience supporting technical projects and/or programs within the Department of Defense (DoD) • Familiarity with purchase orders, vendor records, and related documentation processes • Knowledge of administrative processes such as finance, HR, purchasing, and/or compliance • Experience with project coordination, schedule tracking, and supporting multiple projects or priorities in a fast-paced environment • Strong organizational, analytical, and problem-solving skills • High level of accuracy in data entry, documentation, and maintaining digital records and tracking systems • Excellent communication and interpersonal skills • Ability to work independently, manage competing priorities, and collaborate across diverse teams • Strong working knowledge of Microsoft Office Suite, including MS Word, Excel, and PowerPoint • Ability to obtain and maintain a Secret clearance • Bonus: 2+ years of experience supporting complex technical DoD projects and/or programs • Bonus: Experience communicating with vendors, following up on orders and deliveries, and supporting basic invoice and delivery tracking • Bonus: Working knowledge of DoD project management standards, risk management practices, and compliance requirements • Bonus: Proficiency with Microsoft Project and other project management or computerized tracking systems • Bonus: Possess and maintain a Secret clearance
