• Manage high-volume daily communication with USPS clients, external vendors, and internal JLL teams to ensure seamless program operations and service delivery • Oversee the JLL vehicle washing application, monitoring daily compliance with statement of work requirements and coordinating vendor performance • Generate and distribute daily and weekly reports to clients, JLL leadership, and stakeholders, tracking program metrics and performance indicators • Coordinate cross-functional project meetings with internal account teams and external stakeholders, preparing agendas, documenting meeting notes, and tracking action items to completion • Support vendor onboarding processes, prepare vendor documentation, and schedule service coordination meetings to maintain quality standards • Monitor program risks and escalate issues appropriately, collaborating with team members to develop effective solutions and maintain service continuity • Create and maintain comprehensive process documentation and playbooks for all program activities, ensuring consistency and knowledge transfer across the team
• 2-4 years of experience in a facility coordinator, project coordinator, or similar operational support role • Advanced proficiency with Microsoft Office Suite, particularly Excel, including experience working with large data sets and creating reports • Demonstrated ability to manage multiple concurrent projects, tasks, and deadlines in a fast-paced environment with minimal supervision • Excellent verbal and written communication skills with proven ability to interact professionally with diverse stakeholders at all levels • Strong organizational and time management capabilities with exceptional attention to detail and accuracy • Experience coordinating activities, events, or operational programs that require vendor management and stakeholder collaboration • Customer service orientation with ability to foster positive, collaborative relationships and resolve conflicts effectively
