• Provide primary administrative support to the Chief Program Officer and Director of State Programs • Manage complex calendars, including internal and external meetings, events, and travel • Manage leadership inboxes by identifying, categorizing, and surfacing correspondence requiring attention or follow-up • Help prioritize meetings, activities, decisions, and weekly follow-ups • Manage expense reports, timesheets, travel logistics, and other administrative needs • Provide administrative support to other team members as capacity allows • Prepare leaders for external meetings, donor events, briefings, and other engagements • Gather materials, organize background information, and provide copy editing and presentation support • Participate in Program Team and cross-departmental meetings • Take notes, synthesize decisions and next steps, assign and track follow-ups, and help move work toward completion • Provide project management support for priority projects, team events, retreats, and special initiatives • Maintain and organize Program Team documents and shared drives in Google Workspace • Support development and maintenance of presentations, spreadsheets, briefing materials, and other work products • Use Google Workspace, Slack, Airtable, and other systems to maintain accurate information • Liaise with the Knowledge Manager to refine team procedures and protocols • Serve as the Program Team’s internal library ambassador • Capture stories and insights from work in the states and add compelling developments to the storybank • Compile and organize information related to state strategies, partner work, and program priorities • Identify gaps, loose ends, and opportunities to improve systems • Take on additional projects and responsibilities as Program Team needs evolve
• Exceptionally strong organizational skills and attention to detail • Demonstrated track record of taking ownership and driving work through to completion • Strong judgment and prioritization skills • Ability to operate with a high degree of independence while staying aligned with key stakeholders • Excellent written and verbal communication skills • Ability to synthesize information clearly and concisely • Ability to collaborate effectively with a wide range of people • Ability to handle sensitive or confidential information with discretion • Highly capable with Google Workspace, especially Sheets, Slides, Docs, and Calendar • Comfortable learning and working in databases and systems such as Airtable • Learning-oriented, team-minded, receptive to feedback, and willing to own mistakes and learn from them • Preferred: Experience working in progressive politics, organizing, advocacy, philanthropy, or social movements • Preferred: Previous executive assistant or comparable senior-level administrative support experience • Preferred: Experience with Slack, Airtable, and/or other collaborative project- and information-management tools • Preferred: Experience working effectively on a remote team across multiple time zones • Ability to sit for extended periods of time, with repetitive motion and positions • Some lifting may be required (up to 20–25 lbs)
