📋 Description

• Monitor and manage the sales order pipeline to ensure timely processing • Review signed agreements, quotes, and supporting documentation for completeness and accuracy • Convert product and labor items from sales orders to appropriate operational teams for execution • Create and maintain recurring client agreements within ConnectWise and related systems • Configure agreement billing, contract start dates, renewal dates, and cancellation dates • Process agreement additions, removals, and modifications in compliance with contract terms • Validate service changes against vendor portals, client records, and internal documentation • Maintain accurate customer records and system configurations • Partner with Finance to ensure billing accuracy and prevent revenue leakage • Collaborate with Sales, Finance, Procurement, Service Delivery, and Project teams to resolve contract discrepancies and operational issues • Identify process improvement opportunities and assist with automation initiatives • Create and maintain documentation, procedures, and training materials • Support special projects and other duties as assigned • Own the contract fulfillment process from contract award through agreement setup, billing readiness, and operational handoff

🎯 Requirements

• 2+ years of experience in contract administration, contract analysis, billing operations, finance operations, or a related field • Experience working with CRM systems • Strong Microsoft Excel and Office 365 skills • Ability to analyze data, identify discrepancies, and recommend solutions • Experience documenting processes and maintaining procedural documentation • Exceptional attention to detail and commitment to accuracy • Strong analytical and problem-solving skills • Experience managing multiple priorities in a fast-paced environment • Excellent written and verbal communication skills • Strong organizational and time management skills • Ability to work independently while collaborating effectively across departments • Proactive mindset focused on continuous improvement and process efficiency • Experience working in a Managed Service Provider (MSP) environment is a bonus • Experience supporting recurring revenue or subscription-based services is a bonus • Experience with process automation or workflow improvement initiatives is a bonus • U.S. citizenship required due to federal government contract obligations and access to secured information systems • Ability to communicate professionally in English, both written and orally • Ability to write business correspondence and process procedures • Ability to effectively present information and respond to questions from groups of managers, clients, and the general public • Dedicated safe workspace free from distractions and hazards, secure from unauthorized access • Compliance with Ntiva’s IT User and Security Policies, including password-protecting equipment, securing confidential documents, refraining from public Wi-Fi, and maintaining adequate caregiving arrangements during work hours
