📋 Description

• Serve as the initial point of contact and face and voice of OHSU Ambulatory Clinics • Coordinate new patient scheduling for Medicine Specialties from initial contact through appointment creation • Work with patients, families, providers, and clinical and non-clinical staff to coordinate access to care • Recognize and report access barriers to the supervisor • Verify patient demographic and insurance information and update Epic as needed • Create new medical records for patients not currently in Epic • Receive incoming calls through the Automated Call Distributor and work referral queues • Assess patient needs based on diagnosis and previous treatments • Schedule or hold appointments according to department protocols and document triage information • Triage faxes and phone calls to appropriate clinical parties or practices • Perform proactive outbound calls to schedule patients with referrals • Obtain, verify, and accurately enter information into appropriate systems • Document referral actions in Epic and route referrals to the correct practice • Coordinate with referring providers and other departments for optimal care coordination • Capture outside medical records, scan them into Epic, or create CareEverywhere links • Use wait-list queues to keep provider slots full • Create and print new patient packets • Resolve patient inquiries and escalate complaints or issues through the established chain of command • Provide courteous, professional customer service and contribute to patient satisfaction initiatives • Perform other duties as assigned

🎯 Requirements

• One year of experience in a medical office setting, including high-volume direct patient contact and appointment scheduling • Alternatively, one and a half years of high-volume direct public contact experience plus six months in a medical office setting • Thorough knowledge of PAS policies and procedures • Demonstrated advanced PAS user skills • Extensive knowledge of integrated care at OHSU • Basic computer skills, including word processing, Windows applications, and online scheduling • Excellent verbal and written communication skills • Strong customer service orientation • Demonstrated effectiveness in confrontational customer interactions • High school diploma or GED preferred • OHSU experience preferred • EPIC patient and referral process knowledge preferred • Advanced patient scheduling skills preferred • Experience with electronic scheduling and electronic medical record systems preferred • Advanced skills in MS Word, Excel, Access, Epic, and online resources preferred • Ability to meet department performance standards for efficiency, production, timeliness, and accuracy • Ability to multitask in a high-volume call and work environment • Strong attention to detail and processes • Ability to work autonomously with accuracy and speed while meeting deadlines • Ability to sit for long periods and spend approximately 90% of time on telephone and computer usage • Must have a HIPAA-compliant remote workspace
