📋 Description

• Provide administrative and client service support to a fee-based financial planning practice • Support financial professionals and leadership by coordinating day-to-day office activities • Prepare and organize documents, reports, presentations, and other materials for client meetings and internal discussions • Maintain accurate client records, files, contact information, and account-related documentation in accordance with firm procedures • Assist with new business processing, account paperwork, follow-up items, and coordination with internal or external service partners • Support client communications, including preparing correspondence, responding to routine inquiries, and escalating more complex matters as appropriate • Coordinate calendars, schedule meetings, track follow-up items, and help ensure timely completion of administrative tasks • Provide administrative support to leadership and the advisory team, including document management, workflow coordination, and general office support • Maintain confidentiality and handle client and business information with professionalism and discretion

🎯 Requirements

• High school diploma or equivalent required • Prior administrative, client service, or office support experience required • Experience in financial services, wealth management, or a professional services environment preferred • Strong organizational skills with the ability to manage multiple priorities, meet deadlines, and follow through on details • Excellent written and verbal communication skills with a professional, client-focused approach • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint • Ability to learn internet-based and firm-specific systems • Ability to work independently in a remote environment while collaborating effectively with team members • High attention to detail and sound judgment • Ability to maintain confidentiality when handling sensitive client or business information • Bachelor’s degree in business, finance, communications, or a related field preferred • Equivalent practical experience in a professional office or financial services environment may be considered in lieu of a degree
