📋 Description

• Own and operate the POI intake process end-to-end, managing the Jira-based intake system from submission through delivery • Serve as the primary intake partner for People team requestors, helping scope requests and set expectations on timelines, effort, and prioritization • Facilitate POI intake reviews, backlog grooming, and full roadmap reviews • Identify systemic patterns, capacity constraints, recurring themes, capability gaps, and emerging risks for leadership • Evaluate incoming tickets against People team SOKRs and the 3-Year Plan, establishing prioritization frameworks • Build dashboards and reporting for resource allocation, queue depth, and roadmap health; participate in quarterly business reviews and annual planning • Design, build, and continuously improve an AI intake agent to automate scoping, duplicate detection, time estimation, resourcing recommendations, and prioritization guidance • Create requestor-facing documentation, submission guides, communication templates, and onboarding materials • Present portfolio data and recommendations to senior stakeholders and facilitate resourcing and prioritization trade-off discussions

🎯 Requirements

• 7+ years of experience in project management, business operations, strategy, or consulting in complex, matrixed organizations • Experience designing, building, or significantly improving an intake, triage, or portfolio management process • Strong analytical and systems-thinking skills, including prioritization and communicating trade-offs • Proficiency in Jira or equivalent ticketing/project management tools, workflow configuration, capacity planning, and reporting • Experience using AI tools, LLMs, AI agents, or automation platforms to streamline workflows • Excellent written and verbal communication skills • Experience managing senior stakeholders, including directors and VPs • Ability to operate independently in ambiguous environments and establish success metrics • Collaborative, low-ego working style and ability to act as a strategic partner • At least 2 years of experience within or alongside an HR, People, or equivalent internal operations team • Preferred: experience with AI agents, prompt engineering, RAG, portfolio or capacity management, change management, HR systems, portfolio dashboards, process documentation, data privacy, Google Workspace, and Mac OS
