• Own end-to-end operational coordination for major external sponsorships and industry trade shows • Manage vendor communications, booth layouts, graphic dimensions, compliance logistics, swag sourcing and distribution • Own event budgets and negotiate with vendors • Write and produce invitations, landing pages, promotional emails, social posts, on-site materials and post-event follow-up sequences • Create post-event recap content, including summary emails, LinkedIn posts, highlight videos and relevant case studies • Build cross-departmental SLAs, pre-event advertising layers, account-matching lists and post-event outbound sequences • Coordinate with Sales and Demand Generation so event contacts enter sales conversations within 24 hours • Research, conceptualize and execute micro-roundtables and private VIP executive dinners • Manage venue negotiation, culinary curation, guest-list outreach and on-site execution • Own event lead capture and ensure attendee data flows accurately into HubSpot with source attribution • Report cost-per-opportunity for each activation • Collaborate with Marketing and Sales to align events with pipeline and business goals • Use AI tools for research, synthesis, analysis, drafting and exploration • Build a repeatable event playbook and determine which activations merit repetition
• At least 3–5 years of experience running events that convert • Experience with event logistics, vendor negotiation and field marketing strategies • Experience personally owning and executing in-person B2B events in the North American market • Knowledge of North American conference circuits, sponsorship pricing and negotiation, venues, vendors and buyer expectations • European market experience is a plus • B2B SaaS or software marketing experience is preferred/advantageous • Ability to manage successful B2B events and sponsorships autonomously • Understanding of event metrics and cost-per-opportunity tracking • Ability to build systems for lead follow-up within 24 hours • Hands-on AI-tool usage for research, analysis, drafting and prototyping; AI fluency is not optional • Excellent written communication skills • Comfortable with asynchronous communication • Ability to travel approximately eight or nine times per year, including events mainly in North America and some in Europe • Main working location must be between UTC-5 and UTC+2
