📋 Description

• Schedule Workers’ Compensation appointments in a timely manner from CityMD referrals or external payers/patients • Obtain initial authorizations to treat and pre-authorizations for advanced treatment orders before scheduling • Build and maintain patient Athena charts with current Workers’ Compensation case policy, claim information, authorization details, and appointment links • Verify and update required Workers’ Compensation intake forms before visits • Communicate with patients, employers, adjusters, nurse case managers, and other payer contacts by phone and email • Conduct outbound calls and manage inbound calls and emails regarding referrals, information, and scheduling • Review cancelled appointments and facilitate rescheduling • Coordinate with Summit Health offices that do not follow centralized Workers’ Compensation workflows • Use Salesforce to reference employer and payer referral coordination needs and special instructions • Use Referwell to determine the appropriate provider for referral scheduling • Track referral cases, appointment status, outreach, and scheduling progress • Navigate multiple applications during extensive computer use • Follow HIPAA and governmental or state agency requirements for handling PHI • Adhere to call center schedules and call quality guidelines • Provide exemplary customer service • Collaborate with Workers’ Compensation Case Management, UC Referral Management, Aftercare, Medical Records, Compliance, Revenue Cycle, Sales, Employer Concierge Services, and Operations teams • Perform other relevant duties as assigned

🎯 Requirements

• Bachelor’s Degree in Public Health, Business, Hospitality Management or other applicable degree preferred • Experience with Patient Scheduling preferred • Experience working in a Call Center preferred • Experience managing Workers’ Compensation appointments and patients • Experience working with payer contacts (nurse case managers, adjusters, etc.) • Microsoft Office (Excel) • CRM (Salesforce) • Outpatient scheduling systems (i.e., Athena, Epic, Referwell) • High attention to detail • Exceptional interpersonal and communication skills (verbal and written) • Positive attitude and ability to project this around others • Ability to work in a fast-paced, ever-changing environment • Work well independently and in a team environment • Bilingual in Spanish a plus • Must exhibit passion for outstanding results and compassion for those we work with and serve
