📋 Description

• Step into frontline Care Coordinator workflows during peak volume, unexpected surges, sick calls, or planned absences • Schedule visits, submit lab/imaging orders, manage prior authorizations, coordinate pharmacy calls, process referrals, update electronic health records, and collect payments • Conduct patient communication via phone, video, chat, email, and portal messages • Resolve pharmacy rejections, imaging delays, and telemedicine connectivity issues • Oversee daily staffing rosters, sick calls, shift coverage, and workload allocation • Maintain and update SOPs, workflow checklists, and onboarding materials • Coordinate cross-functional team meetings, build agendas, and track action items • Serve as an AthenaOne EMR subject matter expert, train providers, build recurring reports, audit charts, and manage insurance updates • Provide first-level troubleshooting for virtual visits, portals, and software issues • Review patient experience dashboards, identify bottlenecks, and coach Care Coordinators on workflow improvements • Serve as the escalation point for complex patient complaints, survey follow-ups, and clinical partner inquiries • Enforce HIPAA, patient privacy, and internal risk mitigation protocols • Review encounter documentation timeliness and verify chart tasks for regulatory and billing requirements

🎯 Requirements

• Active Medical Assistant (CMA/RMA) certification is required • 2–3 years of healthcare administration or clinical coordination experience • Previous experience managing, scheduling, or leading frontline clinical staff preferred • High proficiency with AthenaOne EMR or demonstrated super-user capability across similar enterprise EMR systems • Experience with CoverMyMeds and prior authorization platforms required • Exceptional multitasking agility, comfortable switching between operational management and direct patient-facing tasks • Systems-oriented problem solver who thrives in a fast-moving, remote healthcare setting • Bachelor’s degree in Healthcare Administration, Business Administration, or a related field, or equivalent operational experience, preferred • Must be flexible to support nights/weekends across time zones as clinic needs arise
