📋 Description

• Support the operational aspects of Mainstay’s finance and accounting team as it scales • Own the full accounts payable cycle, including invoice processing, coding and approvals, payment runs, and vendor terms • Own the full accounts receivable cycle, including customer invoicing, collections, past-due follow-up, and cash application • Maintain AP/AR aging schedules and resolve vendor and customer discrepancies • Track and report AP/AR KPIs such as DPO, DSO, and aging trends • Manage vendor onboarding, W-9/W-8 collection, and vendor records • Serve as the primary contact for AP/AR questions • Monitor daily cash positions and execute wire transfers, ACH payments, and other cash movements • Administer banking platforms, including user access, permissions, and alerts • Support short-term cash-flow forecasting and flag liquidity needs to the Controller • Reconcile treasury and bank accounts and resolve discrepancies • Own and administer accounting, AP/AR, and treasury/banking platforms • Manage integrations across AP/AR, banking, general ledger, and payroll systems • Maintain financial systems, conduct permissions audits, troubleshoot issues, and support software updates • Evaluate and help implement financial systems and automation • Build and maintain financial systems and workflow documentation/SOPs • Prepare journal entries and support the monthly close checklist • Reconcile bank and credit-card accounts and maintain supporting schedules for balance-sheet accounts • Assist with monthly financial reports and management summaries • Support budget-to-actual tracking, variance analysis, and ad hoc financial requests • Support payroll processing with the Controller and HR • Process employee expense reports and reimbursements • Help maintain compliance with expense policies and documentation standards

🎯 Requirements

• 1–3 years of experience in accounting, bookkeeping, or a related finance role • Meaningful hands-on AP/AR experience • Exposure to treasury or cash management tasks, including bank transfers, cash positioning, and reconciliations • Experience administering or power-using financial systems such as an ERP, AP/AR platform, or banking portal • Strong Excel/spreadsheet skills • Comfort working across multiple financial systems • Strong attention to detail and follow-through on recurring, deadline-driven, controls-sensitive work • Clear communication with vendors, customers, banks, and internal teams • Systems/process mindset • Interest in growing beyond AP/AR into broader accounting, treasury, and finance operations • Degree in accounting, finance, or a related field preferred but not mandatory • No certification required • Experience at a startup or fast-growing company is a nice to have • Prior exposure to treasury management systems or online banking platforms is a nice to have • Prior experience administering a financial system beyond AP/AR is a nice to have • Familiarity with payroll systems and expense management tools is a nice to have • Legally authorized to work in the United States • Must not require visa sponsorship now or in the future to work in the United States
