📋 Description

• Partner with the VP of Engineering to maximize effectiveness and protect executive time • Manage calendars, incoming and outgoing requests, and scheduling conflicts across multiple time zones • Understand executive priorities and organizational goals to identify opportunities and risks • Anticipate executive needs and independently solve problems • Manage meeting preparation, agendas, briefing documents, attendee coordination, and follow-up • Coordinate recurring department meetings, planning sessions, offsites, team gatherings, and company events • Track commitments, decisions, action items, and cross-functional dependencies • Prepare presentations, executive communications, spreadsheets, reports, and briefing materials • Prepare executives for board meetings, customer meetings, leadership presentations, conferences, and speaking engagements • Coordinate work with the Chief of Staff to the CTO • Partner with leaders across Engineering, Product, Design, People, Finance, Legal, Marketing, IT, and Operations • Coordinate headcount planning, department budgets, and performance review processes • Improve administrative and operational processes and build repeatable systems • Coordinate domestic and international travel, including itineraries, accommodations, visas, transportation, and contingency planning • Manage executive expense reporting • Leverage AI-powered and modern productivity tools to streamline administrative work • Recommend and implement processes that improve departmental collaboration

🎯 Requirements

• Significant experience supporting VP- or C-level executives within a fast-paced technology company • Experience supporting Engineering, Product, Design, or other highly technical organizations • Experience with Google Suite, Notion, Slack, Zoom, and Jira • Demonstrated ability to operate independently with minimal direction in rapidly changing environments • Exceptional organizational and project management skills • Outstanding written and verbal communication skills • Strong business judgment and ability to know when to escalate • Ability to anticipate executive needs and proactively remove obstacles • Excellent attention to detail while maintaining broader business perspective • Experience coordinating complex cross-functional projects involving senior stakeholders • High emotional intelligence and ability to build trusted relationships across all organizational levels • Comfort navigating ambiguity and adapting quickly as priorities evolve • Strong systems thinking and continuous improvement mindset • Absolute integrity and discretion with confidential information • Comfortable working asynchronously in a globally distributed remote organization • Collaborative, humble approach with willingness to help wherever needed • Nice-to-have: experience in high-growth SaaS, infrastructure software, developer tools, or security companies • Nice-to-have: experience supporting distributed global organizations • Nice-to-have: experience planning executive offsites, leadership retreats, and company events • Nice-to-have: experience implementing workflow automation or leveraging AI tools • Nice-to-have: experience supporting executive communications, board preparation, or company planning processes
