β’ Reports to: Executive Director & Board of Directors β’ Supervises: Operations Coordinator and Impact Lead β’ Aid Executive Director and Managers with recruitment and hiring of staff β’ Responsible for overseeing the onboarding of new staff, including creating and tracking employment contracts β’ Manage offboarding employees β’ Monitor staff time to help assess team capacity and gaps β’ Research and apply for various wage subsidy programs β’ Manage wage subsidy compliance and reporting β’ Run bi-weekly payroll using a third-party payroll service provider (Ceridian) β’ Oversee performance reviews of staff using a 360 model β’ Produce financial reports and organize the bookkeeping for each quarter and the year-end β’ Co-create the fiscal budget with the Executive Director β’ Manage bank accounts and credit cards β’ Process and monitor all invoicing to funders and customers, as well as payments to contractors and suppliers. β’ Responsible for compiling, interpreting, executing, and verifying financial information β’ Monitor and analyze the organizationβs cash flow β’ Liaise with our accounting firm for the annual audit β’ Maintain the organization's operations manual β’ Be accountable for overseeing Monday.com and Google Drive organization β’ Manage all information and technology access for the organization β’ Manage the Youth Climate Lab Finance email β’ Coordinate quarterly board of directors meetings and offer check-in points to support the management of the sub-committees β’ Control and innovate governance and people management policies and procedures while suggesting improvements to the internal control framework β’ Analysis of performance measures and alignment with organizational strategy β’ Developing strategies that work to minimize financial risk β’ Liaise with our lawyers for any legal requirements and needs β’ Work with the Programs Manager to support budgeting and cost controls of individual projects. β’ Work with the management team to determine fundraising strategies and funding budgets. β’ Reading through various grant and fundraising proposals to understand restrictions and regulations. β’ Ensure compliance with various regulatory/compliance requirements with a wide range of funders and partners, such as the creation and maintenance of project budget lifecycles and their relevant documentation requirements. β’ Manage Impact lead β’ Meet with impact interns or capstone students as needed β’ Oversee financial and fundraising reporting β’ Interest in collecting and using data to tell stories β’ Support with financials for grant writing β’ Organizing fundraising support & data collection for fundraising goal setting
β’ A post-secondary degree or lived experience related to finance, operations, business administration, non-profit management, and similar fields. β’ Demonstrated interest and experience in climate action. β’ Commitment to advancing justice, equity, diversity and inclusion (JEDI), and decolonization. β’ Experience in non-profit and/or grassroots organizations, particularly youth-led initiatives (asset). β’ Experience in fundraising and grant writing (asset). β’ Experience with building online workflows and HR systems management (asset). β’ Experience fostering healthy interpersonal relationships between staff and external stakeholders (asset). β’ Experience working across time-zones (asset). β’ Proficiency in Monday.com, Google Workspace, Slack, Zoom, Miro (asset). β’ Bilingual - proficient in written and verbal French and English (asset).
