• Collect and process ARC requests where applicable • Produce work orders/service requests subject to policy • Coordinate access for service providers as required to complete service requests • Send invoices to Accounts Payable • Track and manage unit leases and unit insurance • Process move in/move out applications • Schedule move in/move out • Process owner verification forms daily • Monitor and process clubhouse reservations • Schedule and coordinate clubhouse access and inspections • Assist with special projects as requested by the Regional Vice President, Regional Director or Community Manager • Draft, proof and send communications to the boards and communities, including Issue Eblasts through software • Assist managers in preparations for Board meetings and Annual Meetings • Track and organize meeting proxies and ballots • Schedule and set-up conference room meetings • Maintain community contacts for Associations • Build and maintain productive relationships with other departments within the company • Vantaca – enter and respond to Action Items assigned to ACM role • Vantaca – post documents and maintain information in Vantaca (owner contact, Additional Info, etc.) • Monitor and respond to email correspondence for personal and regional inboxes
